‘Virtual Process Administrator
As-A-Service’
Keep your process management system returning it’s investment
Introducing your ‘Virtual Process Administrator’ for Promapp. Performs the governance function in lieu of assigned internal staff.
Systems require some level of human intervention to keep their return on investment intact. Promapp is one of these systems. There is little point in paying a substantial cost to have a system running if it is not being used to maximise the reason it was purchased for in the first place. Think of it like an engine that needs a regular service. You can either leave it until the engine stops (and risk a big cost to get it going again), or keep it regularly serviced and running smoothly to avoid a one-off more costly ‘fix’.
We regularly see businesses of varying sizes who have implemented Promapp successfully and over a period of time find that the ‘wheels are starting to fall off’. Key roles to support the governance structure either move on to new roles or leave the business. As soon as this occurs, the ‘process drive’ slows down and often becomes unwieldy to maintain.
If your business does not have the size or structure to support the recommended Promapp governance and administrative requirement to keep process documentation efforts on track, we are here to help. We have just launched our ‘Virtual Process Administrator As-A-Service’ product which is designed to provide you the key governance required to keep your Promapp instance returning value.
How does it work?
Every month we will review the top 6 baseline indicators which we have identified as key to keeping your processes relevant. Based on these, we will provide you an executive summary report of findings, recommendations and action plan to address.
Publish
A check to see if any processes are unpublished. If they remain in draft, they remain the ‘best kept secret’. The objective is to get all processes completed, published and used in the business.
Complete
Outstanding items as ‘to do’s’ require attention to get closed out. Often processes will remain unpublished because of these. Visibility of who is completing these is paramount to ensuring they are finished.
Changes
Processes which have changed should be seen by those involved in doing the work. A check for user dashboard activity determines if further intervention is required.
Outdated
Old processes can represent broken processes and can result in costly mistakes. A regular check to make sure that processes are still current is critical to ensure they are actively being used for reference in the business.
Feedback
Staff involved in the process often have the best ideas to improve it. If they have taken time to provide feedback, the business should take the time to acknowledge it. And that feedback might just be the next best idea!
Security
New employees should be added to the system and provided baseline training. Exited employees should have their access removed. This is a critical area to retain privacy of information which is often not well administered.
